Nanny Taxes Aren t Hard to File if You Follow This Guide

#

A Quick Guide for Paying Your Nanny Taxes

Getty Image / fstop123

Should you pay nanny taxes? The right ethical answer is yes, you should. If you re unsure where to start, follow our guide to make sure you cover everything.

The IRS requires anyone with household help, such as a nanny, babysitter, or housekeeper, to pay taxes. You ll need to pay Social Security, Medicare, FUTA (Federal Unemployment Tax Act) and federal and state income tax if their annual pay crosses over a certain threshold, which as of 2017 was $2,000.

For example, if you pay an adult babysitter $35 every Saturday night, you must pay nanny taxes. Not only is it illegal to skip the nanny tax, it s unfair to the person who s caring for your child. You re potentially costing her or him future Social Security and Medicare benefits.

You ll need the following information:

  • Household Employers Tax Guide (IRS Publication 926)
  • The official IRS Forms W2 and W3 (call 800-TAX-FORM to order them)
  • A record of how much you paid your nanny last year.
  • Your nanny s Social Security number and address
  • Your household Employer Identification Number (EIN)
  • . and last by not least a calculator, pen, and paper.

The following instructions will only cover paying Social Security and Medicare taxes for your nanny. Read the Household Employers Tax Guide (referenced above) to see if you will owe federal unemployment tax (FUTA). You will need to check with your state to see if you owe state employment taxes.

Before You Hire, Decide How You ll Manage Nanny Taxes

Here are some decisions you must make when you hire your nanny. First, be sure they can legally work in the United States by examining their documentation and filling out a Form I-9, Instructions for Employment Eligibility Verification

Once you have found your awesome nanny you can decide together if you, the employer, will withhold federal income tax or not.

You are not required to do so, but if you decide to withhold and then have a change of heart be sure to put this in writing. Federal tax withholding is not covered by this article so be sure to do your homework on this.

Investigate if you will owe state employment taxes. Each state is different and because this is such a big topic it won t be covered in this article. But to steer you in the right direction the relevant state agencies are listed in an appendix of the Household Employers Tax Guide.

For Social Security and Medicare, you can either pay it all yourself or deduct half of it from their pay. Medicare and Social Security taxes amount to 15.3 percent of her pay. Half of that, 7.56 percent, is the employee s share, which you could withhold from each paycheck or pay yourself. You, the employer, send both halves of the tax to the federal government. When hiring your nanny, tell them how you plan to manage this.

Things To Do Ahead of Time to Make Filing Easier

Once you hire your nanny. keep records of cash and check payments you make to them in a spreadsheet like Google Sheets or Microsoft Exel. Then at the end of the calendar year, record the total cost for you to submit in your taxes.

You will need an EIN number in order to file for your nanny taxes. The first year you have your nanny be sure to call the IRS before February to be assigned an employer identification number. You can call 800-829-4933, apply online. by fax or via mail.

As for coming up with the cash to pay your nanny taxes you have a few options. You could ask your own employer (or your spouse s employer) to withhold more from your wages in order to cover household employment taxes. Or, you can make estimated tax payments to the IRS each quarter. Another option is to pay nanny taxes on April 15 with your income tax, but if the amount is large enough you might be subject to penalties.

The Three Forms You Need to Fill Out

January 31st is the due date for the two Social Security forms you must fill out, which are Form W-2 and Form W-3.

You can opt to submit these forms online for quick and easy processing. If you need help filling out these forms there are examples at the end of the Household Employers Tax Guide .

The third form is your Schedule H form which can be submitted by tax day. The Schedule H form is called the Household Employment Taxes which helps you determine how much you ll pay for your nanny taxes which are Social Security, Medicare, Withheld Income, and Federal Unemployment (FUTA) Taxes.

Are you worried about your math or have questions? The IRS created a set of instructions that covers these three forms. They include examples of the forms and things you should know about Household Employer Taxes.

Now when tax day comes you ll feel more prepared. Your nanny taxes covers five different types of taxes and by following this guide and doing a bit of homework you ll be ready to file with confidence.

Why Form a Delaware LLC

Why is the Delaware Limited Liability Company the best LLC on the planet? It s a question we get asked a lot. In a state best known for its business entities, the Delaware LLC sometimes gets overlooked, as its older, more distinguished sibling, the corporation, receives a lot of the attention. We think that s mostly because Delaware didn t allow the formation of LLCs until 1991 when it passed its first Limited Liability Company Act. Since that time, however, the Delaware LLC has offered the same asset protections and tax advantages that a corporation offers. Often the LLC is the simpler, more flexible choice for small businesses. Below, you ll find a list of the advantages that make the Delaware LLC one of the world s best business entities:

  1. Simple and Secure

Of all the LLCs in the known universe, the Delaware LLC is by far the simplest to form. The Delaware Division of Corporations requires only a minimal amount of information in an LLC s formation documents (called the Certificate of Formation). This small amount of required information not only makes it easy to start an LLC in Delaware, but it also helps to keep your identity and personal information secure. Since much of your personal information isn t required to form an LLC in Delaware, your information won t be published on public documents. And, LLCs in Delaware don t file annual reports, so even after your Delaware LLC is formed, your information will remain secure.

  • Tax Exemptions

As the most business-friendly state in the US, Delaware is oftentimes referred to as a tax haven. While this is a misnomer, Delaware actively tries to maintain a healthy business atmosphere and offers benefits that other states don t, all of which an LLC can take advantage. Our state doesn t tax “intangible income” (like patent and trademark leases), which has made Delaware an attractive state in which to form holding companies (LLCs and corporations formed to “hold” assets, intangible or otherwise). Our state has also created incentives for LLCs formed in Delaware that don t operate in Delaware. For example, according to § 1902, you ll pay no state income tax as long as your LLC in Delaware doesn t do business in Delaware.

  • No Double Taxation

Operating as a Delaware LLC gives you flexible taxation options. An LLC in Delaware can choose to be taxed as a pass-through entity, an S corp, or a C corp. Corporations in Delaware and elsewhere are by default taxed as C corporations. For many small businesses this tax structure doesn t make sense, as C corp profits can be taxed twice (once as corporate income, a second time as personal income). Delaware LLCs, by default, aren t taxed that way. LLCs in Delaware pass profits directly to their members, and the LLC s profits are taxed only once, as the members personal income. However, LLCs can also opt to be taxed as an S corp or a C corp if the members choose, adding to the LLC s flexibility as a business entity.

  • Strong Business Laws

One of the most attractive features of starting an LLC in Delaware is that our state offers the best-known, most-carefully-studied business laws in the US. Because of Delaware s long history as the nation s leader in business formation and business law, its codes and legal statutes are studied in law schools around the country. Delaware even has its own court specifically for businesses; it s called the Court of Chancery. Cases in the Court of Chancery are argued in front of judges, not juries, and any legal dispute you have has likely already been argued in court, so businesses usually know ahead of time whether to fight a lawsuit or settle. This knowledge can be especially beneficial for companies who are sued often, as it saves time and money spent on legal fees.

  • No Business License Required

According to Section 2301(b) and (d) of our state s code, Delaware LLCs not doing business in Delaware are not required to obtain a business license, register with the Department of Revenue, or pay Delaware s gross receipts tax.

  • Few Formalities

Possibly the greatest advantage of starting an LLC in Delaware is that a Delaware LLC requires so little maintenance, which is often perfect for small businesses. LLCs in Delaware do not file annual reports (LLCs pay a flat $300 annual tax) and it s due on June 1 every year and can be paid online. LLCs require less paperwork and administrative formalities than corporations. Delaware LLCs don t need to hold annual shareholders or board of directors meetings. Overall, LLCs tend to be the simpler entity.

  • Can I form an LLC in Delaware if I live in a different state or country?

Yes, absolutely. The only physical requirement for Delaware LLCs is that the limited liability company must have a registered agent in Delaware. A person doesn t need to live in Delaware to start an LLC in Delaware. Some of the advantages of Delaware LLCs are only available to nonresidents. The benefits of starting an LLC in Delaware as a nonresident are listed below:

Delaware does not have a sales tax on goods and services.

  • No state income tax

Delaware LLCs taxed as S corps, and LLCs in Delaware that do no business in Delaware, don t pay state income taxes. Residents of other states and other countries may be obligated to pay their home state s income taxes, but they will not have to pay Delaware s income tax.

  • No ad valorem tax

Delaware doesn t have an intangible personal property tax. If the state or country in which you live doesn t have one either, you shouldn t have to pay any tax on intangible personal property like patents or trademarks.

  • Should I form a Delaware LLC or a corporation?

Business entities are not one-size-fits-all, but the advantages of Delaware LLCs and corporations are highlighted below:

  • Add Variable Hyperlink in Mail Merge in Word 2013 – Stack Overflow

    #

I’m trying to add a hyperlink to a mail merge field. So something like this:

So I create a field like this.

And the above works (it displays different links for different recipients).

However, when I go to Edit Field, and then attempt to add HYPERLINK to < MERGEFIELD Links>, Word will not allow me. Meaning that when I type HYPERLINK followed by a space, the “variable” field is gone. Instead of word displaying.

even after I press “update field”. So Word is not letting me enter HYPERLINK for some reason.

    How do I solve this?

Start with the process here: http://support.microsoft.com/kb/912679 However, like user1867326 indicated, the hyperlink (which should be variable with the mail merge) is converted into a static link when the Word file is reopened.

A solution that seems to work is adding a bookmark within the hyperlink field code immediatly after the mergefield. < HYPERLINK < MERGEFIELD "Link" > \* MERGEFORMAT > Click between the > and \ and go to INSERT > Bookmark, give it a name, and this seems to prevent Word from replacing the mergefield with a static hyperlink.

When I tried to follow these instructions, I had trouble getting the link to appear properly. I was using Word 2016 on Windows. To fix it, I had to do this: Instead of typing by hand, I had to insert the field using the Insert menu. The issue seems to be that typed curly braces are not the same as those inserted by Word when you use the Insert command! LZM Feb 1 at 6:33

    1. On the Insert menu, click Field (under Quick Parts in later office versions).
    2. In the Field names list, click Hyperlink, and then click OK. The text Error! Hyperlink reference not valid appears in the document.
    3. Press ALT+F9 to open the < HYPERLINK \* MERGEFORMAT > field code.
    4. Put the insertion point after HYPERLINK and then add a space.
    5. On the Insert menu, click Field. In the Field names list, click MergeField. In the Field name text box, type the name of the data source field that contains the hyperlink, and then click OK. For example, if the name of the data source field is “Address1,” the field code appears as follows: < HYPERLINK < MERGEFIELD "Address1" > \* MERGEFORMAT >
    6. Press ALT+F9 to close the field code. You now have Error! Hyperlink reference not valid text.
    7. Put the insertion point at some arbitrary place in the middle of the Error! Hyperlink reference not valid text, and insert the text you want to appear. If you would like a merge field, insert that from the “Insert Merge Field” option on the menu.
    8. Delete the remaining text of Error. before and after the text you want to keep.

Note: If your merge field only contains an identifier, with the URL to be provided as a static part of the merge document, this can work also. On Step 5, you will need to insert the URL text as well as the MergeField, for example: < HYPERLINK "https://www.myurl.com/EditForm.aspx?ID=< MERGEFIELD ID >” \* MERGEFORMAT >

    answered Jun 10 ’16 at 19:12

I also have been struggling with this. What I found to be the key is creating the document from SCRATCH and not saving it before executing the mail merge. Here are the steps I used:

    1. open a new document and click on the step by step mail merge wizard; add your generic text.
    2. To add the variable hyperlink go to insert>quick parts>fields
    3. select hyperlink on the left and click okay
    4. Use alt + F9 to see the hyperlink field code
    5. Type “” and between them insert your merged field so that -> becomes “\*MERGEFORMAT>
    6. Press ALT+F9 to hide the field code
    7. Click in the text “Error! Hyperlink reference not valid” and replace with something generic like click here.
    8. Complete the mail merge BEFORE you save the document.

Hope this helps and good luck!

    Use the new bubble test
    program for PDF printed
    bubble sheets!

    The PDF Bubbletest Generator
now has the ability to use
    your own PDF template. That
is a big deal because you can
    create your school’s logo and
    letterhead with MS Word, save
it as a PDF file, and use the
PDF as a template. Then, you
    will have a bubbletest with
    your own custom letterhead!

    Your sheets will be “pixel
clear”, and you will have the
ability to save your PDF on
your PC, just like any other
PDF file. Let me know what
you think of it. The current
    Bubble Test Site will remain
    as-is. And it’s always free!

    I realize teachers usually
    operate with limited funds,
but if this site is truly help-
    ful to you, please consider
    contributing a small dona-
    tion. Thank You.

    Do you have young
    students or students
    with challenged motor
    skills?

    Easier to read.
    There are some larger
    bubble styles in the ‘500’
    section of the Teacher
    Submitted Graphics. These
    are perfect for younger
    students.

    In this example, I also
    enlarged the font size,
    widened column space,
    and increased space for
    the distance between lines.

    Did you know.
    that you can eliminate the
    page numbers AND the footer
    that appear on your sheet
    when printed on the printer?

If the footer is set to URL,
    the Catpin.com URL will appear
on the bottom of your sheet.

    View your “page settings” or
    “printer setup” to change
    all header and footer fields
    to -Empty-

    The header / footer settings
appear on the same part as
    the margin adjustments.

    Another hint: Make all
margins as small as you can.
    Enter zero(0) for each and
    let the browser determine
    the smallest margin number.

    Print out practice
    Bubble Test Sheets
    for your Students.

    Create a test key by
    printing a sheet on
    a clear transparency.
    Use a permanent pen
    to mark the correct
    answers on test key.

    MATH GRID HINTS:
If you plan on mixing math
    grids with other styles, I
    recommend that you make a
    couple separate sheets and
    cut the paper printout with
    a scissors. Create a master
test sheet you can copy on
    a normal copy machine.
    Basically, you’ll be arrang-
ing your own columns so they
    line-up properly.

    EMAILS FROM TEACHERS:
    You would not believe the
number of emails I get from
    teachers around the world.
    The great ideas and suggest-
    ions are amazing!

As always, this site is free.
    Use it.

    practice tests. Introduce
    young students to the many
    different styles of testing.

    Teaching tools, testing
    tools, and educational tools
    designed specifically for
    teachers.

    Parents who home-school
    their children will find
    this especially beneficial.
